Camp Registration Privacy Notice

1. Controller

The controller is Freibeuter 2010 e.V., Modersohnstraße 55, 10245 Berlin, Germany.

The camp is organised in connection with SKOK Academy / SKOK League under the responsibility of Freibeuter 2010 e.V.

2. Data we collect

• Player data: first name, last name, year of birth, selected category, current basketball club and Freibeuter membership status.
• Parent/guardian data: name and email address.
• Emergency contact: name and telephone number supplied for use in an emergency connected with the camp.
• Challenge data, if applicable: whether the 10/10 Challenge was completed and any Instagram post/reel/video URL submitted to verify the discount.
• Optional health information: medical information or allergies that the parent/guardian chooses to provide because the coaching team should know it for safe participation.
• Administrative data generated during registration, communication, confirmation, payment and participation.

3. Why we process the data and legal bases

• Registration, communication, participant administration, category assignment, camp planning and contractual processing: Art. 6(1)(b) GDPR (steps prior to entering into a contract and performance of the participation agreement).
• Compliance with legal, tax or accounting obligations where applicable: Art. 6(1)(c) GDPR.
• Safe and orderly event organisation, including necessary internal coordination: Art. 6(1)(f) GDPR where applicable. Our legitimate interest is the safe and efficient organisation of the camp.
• 10/10 Challenge verification: Art. 6(1)(b) GDPR because the information is used to verify the discount requested as part of the registration.
• Optional medical/allergy information: Art. 6(1)(a) GDPR together with Art. 9(2)(a) GDPR on the basis of explicit consent.

4. Health data

Medical information and allergy information are special categories of personal data. Providing this information is optional.

If you enter health information, we ask for separate explicit consent. The information is used only to help the authorised camp team organise safe participation and respond appropriately if a relevant situation arises.

You may withdraw this consent at any time with effect for the future by contacting vorstand@freibeuter2010.org. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.

5. Emergency contact data

Emergency contact details are used only if we need to contact someone in connection with the player’s safety, wellbeing or an urgent organisational matter during the camp.

If the emergency contact is a person other than the registering parent/legal guardian, the details are provided to us by the registering parent/guardian. Please inform that person that their contact details have been supplied for this purpose.

6. Recipients and service providers

Personal data is accessible only to people who need it for the relevant task, such as responsible persons within Freibeuter 2010 e.V., the SKOK project lead, authorised camp organisers and coaches where safety information is necessary.

Technical service providers used for website hosting, registration processing, email, payment or accounting may process data on our behalf where required.

The website is currently hosted using Netlify. Before registration opens, any additional registration/database/payment provider used for this form must be reflected in this notice and in the general Privacy Policy.

7. International transfers

Some technical service providers may process data outside the European Economic Area. Where this occurs, transfers are made only where a lawful transfer mechanism is available, such as an adequacy decision or appropriate safeguards.

8. Retention

• Registration and organisational data is kept only for as long as necessary to administer the camp, handle follow-up questions and resolve participation-related matters, unless statutory retention duties or legal claims require longer storage.
• Emergency contact details are deleted when they are no longer needed for the event, normally shortly after the event has been completed.
• Optional health information is deleted as soon as it is no longer required for the safe organisation of the event, normally within 30 days after the event, unless an incident or another lawful reason requires limited longer retention.
• Challenge links/proof are retained only as long as needed to verify the discount and resolve registration/payment questions, and are then deleted unless another lawful reason requires retention.
• Billing and payment records are retained for the statutory retention period where required.

9. Is providing the data mandatory?

The fields marked as required are needed to process the registration and organise participation. Without them we may not be able to accept the registration.

Medical/allergy information and media consent are optional. Choosing not to provide optional data does not by itself prevent participation.

10. Photos and videos

The registration form does not automatically grant permission to publish identifiable photos or videos of the player.

Where consent is relied upon for identifiable photos or video, it will be requested separately and voluntarily. The 10/10 Challenge submission is used to verify the discount and does not by itself authorise us to republish that content.

11. Your rights

Subject to the statutory conditions, data subjects have rights of access, rectification, erasure, restriction of processing, data portability and objection where applicable.

Where processing is based on consent, consent can be withdrawn at any time with effect for the future.

12. Right to complain

You have the right to lodge a complaint with a data protection supervisory authority.

For the controller’s registered office, the competent authority is the Berliner Beauftragte für Datenschutz und Informationsfreiheit, Alt-Moabit 59–61, 10555 Berlin, Germany.

13. Further information

The general SKOK League Privacy Policy applies additionally to website access, hosting, logs, general communications and other processing not specific to this camp registration.
